Trainee Receptionist

We are seeking a friendly, energetic, and professional Trainee Receptionist to join our growing IT company. The ideal candidate will be the first point of contact for visitors, clients, and employees while supporting day-to-day administrative and office operations. This role provides an excellent opportunity for individuals looking to build a career in administration, customer service, and office management.

Key Responsibilities

Front Office Management

  • Welcome and assist visitors, clients, and candidates in a professional manner.
  • Manage incoming phone calls and direct inquiries to the appropriate departments.
  • Maintain visitor records and ensure compliance with company security procedures.
  • Handle incoming and outgoing mail, courier services, and deliveries.
  • Keep the reception area clean, organized, and presentable.

Administrative Support

  • Schedule and coordinate meeting room bookings.
  • Assist with travel arrangements, accommodation bookings, and transport coordination.
  • Support HR and Administration teams with document preparation and filing.
  • Perform data entry and maintain administrative records.
  • Assist in organizing company events, training sessions, and employee engagement activities.
  • Manage office supplies inventory and coordinate procurement requests.

Employee & Client Support

  • Coordinate refreshments and logistics for client meetings.
  • Support onboarding activities for new employees.
  • Respond to general employee administrative requests.
  • Ensure a positive experience for visitors and guests.

Qualifications

  • G.C.E. Advanced Level (A/L) completed.
  • Diploma or certificate in Business Administration, Office Management, or a related field is an advantage.
  • Fresh school leavers and recent graduates are encouraged to apply.
  • Prior internship or customer service experience will be an added advantage.

Required Skills

  • Excellent communication skills in English.
  • Good interpersonal and customer service skills.
  • Basic proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Professional telephone etiquette.
  • Strong organizational and multitasking abilities.
